Messages
The direct messaging feature allows not only individuals but also group members to send and receive private messages within learningBOX.
Also, group chat can be created with members from multiple groups, enabling group-wide communication among participants.
*To use message function, go to Message > Messages in the side menu.
*The above two features, direct message and group chat, are available in the same page.
Required
Management role of Message manager (for the settings)
In both Direct Messages and chat rooms, messages are deleted one year after they are sent.
Direct message
This section explains the operation of direct messages.
01. Create new
In the upper left corner of the screen, click + Create new > Direct message.

02. Create direct message
The following window will appear.
Configure each item as follows:
▼ User
Select a user or users to send direct messages.
To deselect a user, click on the ✕ icon or un-tick the box in the list.
*You can select between two to 10 members.
▼ Thread title
You can set a thread title.
If you leave the field blank, the participant's display name will appear.
▼ Display name
Set a name to be displayed to other users.
*When both user name and display name are not set, the user name will be Anonymous user.

For users whose status is not Valid, the user status will be displayed after the user name.

Save your changes once all settings are complete.
The direct message you created will be added to the Direct message tab.

03. Edit/delete direct messages
To edit/delete a direct message you have created, click the ︙ icon > Edit/Delete.
To find how to edit the thread, refer to Step 02.

04. Send message
Participants can send messages within direct messages.
*Admin and Message managers can also send messages regardless of the groups they belong to.
The number of members will be displayed in each thread.

Click a thread title, and the thread will be displayed on the right side.
Enter text and click Send.
*Up to 2,000 characters can be entered.

When a Message manager sends a message, the sender name can be selected.

If Send as Admin is selected, Admin will be displayed above the sent comment.

Once submitted, the message will be listed.
Members can attach files.
Click the + icon in the lower left corner of the thread and select a file.
Maximum file size is up to 5 MB, and supported file types are as follows:
jpeg, jpg, png, pdf, docx, xlsx, pptx

For images and PDFs, members can view them in the thread.
To download the file, click the ︙ icon.

Read/unread status
Read/unread status will be displayed under the messages you sent.

05. Delete message
You can delete messages you sent.
Click the ︙ icon next to your message > Delete message.

Admin and Message managers can also delete messages from participants.
06. Receive message
When a message is received, the number of unread messages will be displayed.

Unread message notifications
Participants receive a daily email summary of their unread messages, including the total count and the latest message content.
This notification combines new direct messages and group talk room updates into a single daily email.
Furthermore, each message is only notified once as long as it remains unread.
*For more details on the email content, refer to Unread message notifications.
07. Reactions
You can react to messages, both your own and others', using the Like icon.
Hover over a message with your cursor, or tap it on a touch device, to display the Like icon.

Clicking the Like icon turns its background blue.
You can remove your Like by clicking the icon again.

The total count of users who liked the message appears next to the Like icon.
*The white icon describes you did not click the Like icon.

Click on the number to view who clicked the Like icon.
*When operated by Admin or assigned managers, display name, login ID and name will appear.
On the other hand, only display names will be displayed without the above management roles.

You cannot click the Like icon on the deleted messages.
Only participants in a thread can LIKE comments.
Unless Admin and Message managers are invited to the thread, they cannot LIKE comments, either.
08. Update
To update threads, click Update.

You can also update your message in the thread by clicking Update.

09. Direct Message Search
Enter member's display name or thread title to search.

10. Filter
Admin and Message managers can filter messages.
Click on the filter icon and select an item:
- Not selected
- My DMs
- Managed DMs

11. Participants
Click on the ︙ icon in the upper right corner of a thread > Participants.
*Edit and Delete will also be displayed to Admin and Message managers.

Participants in the thread will be listed.
Admin and Message managers can disable posting and remove members by clicking the ︙ icon.
- Disable/Enable posting
- Remove from group

Group chat
The following explain how to use the Group chat.
01. Create new
Click + Create new > Group chat.

02. Create thread
The following window will appear.
Configure each item as follows:
▼ Group
Select groups to exchange messages.
To deselect a group, click on the X icon for each group or un-tick it in the pull-down.
*Up to 10 groups can be selected.
▼ Group chat name
A group chat name can be set.
If you leave the item blank, the selected group names will be displayed.
▼ Display name
Set a name to be displayed to other users.
*When both user name and display name are not set, the user name will be Anonymous user.

Save your changes once all settings are complete.
A new thread will be added to the Group chat tab.

03. Edit/delete group chat
To edit/delete a created group chat thread, select the ︙ icon > Edit/Delete.

Participants can send messages within the Group chat.
*Admin and Message managers can also send messages regardless of the groups they belong to.
The number of participants will be displayed on the thread titles.

Click a thread title, and the thread will be displayed on the right side.
Enter text and click Send.

08. Update
To update group chats, click Update.

A group chat thread can be updated by clicking the Update link in the thread.

09. Searching Talk Rooms
You can search by participant's display name or group chat name.

10. Filter
Admin and Message managers can filter the group chats.
Click on the filter icon and select an item:
- Not selected
- My group chats
- Managed group chats

11. Participants
Click on the ︙ icon in the upper right corner of a thread > Participants.
Edit and Delete will be displayed to Admin and Message managers.

Participants in the thread will be listed.
Admin and Message managers can filter groups in the list.
Enable/Disable posting can be selected from the ︙ icon for each participant.

When multiple groups are selected, Message managers must have the permission for all selected groups to edit participants in the Group chat.
Users removed from a group
Users who are removed from a group will be:
- Removed from participants in the Group chat
- Disallowed to access the Group chat thread
- Messages sent by the user will remain
