Booking and attendance of training (on the part of the learner)
Learners can manage their own training reservations and attendance.
Note that this screen is divided into three tabs: "Reservation Change/Reservation Status/Attendance Status".
[Training features]
Several courses can be combined to build a training program.
This allows learners to select and reserve training courses from the list, and take it within the specified period.
Required
Customization
If you signed up for customization prior to January 21, 2026 (Ver. 4.1), you will need to change the "Customize" option in the Site Customizer to "Customize".Manage menu page within the Site customizer.

A reminder to learners can be displayed at the top of the "Training Reservations and Attendance" screen.
This is the same information that is displayed in all tabs of "Reservation Change/Reservation Status/Attendance Status".
Note that the setting of "Basic settingsThis is done in the "Messages for Learners" section of the "Messages for Learners" screen.

Reservation Change
Learners can check the current schedule and book/cancel all available trainings at once.
The following explain the steps to update a reservatioin.
- Select a training session on the calendar
- Add the training to the list of reservation updates
- Update in bulk
01. Calendar
When you open the "Reservation Change" tab, you will see the calendar below.
You can switch the appearance by week, day or list.
Also, the <> icons allows to move between pages.
To select a specific date, click on the calender icon.
Click "Today" to move back to today's page.

You can limit the time slots displayed on the calendar, and exclude Saturdays and Sundays.
Note that the setting is "ScheduleThis is done on the "+" screen.
For smart phones, the following will be displayed.
By default, they are displayed in a list.

02. Display training
The calendar displays training sessions that are open to the learner, pending approval, or already scheduled.
Attendance status, if any, will be displayed along with the status.
*Attendance status will not be displayed for trainings that do not use tickets.
Training sessions for which either the start date or end date has not been set will not appear on the calendar.

Multi-day training
For the multi-day training, the appearance will be as follows.
Example: If the event period is 12/23 (Tuesday) 13:00 - 12/25 (Thursday) 17:00
▼ Weekly
From 12/23 (Tue.) to 12/25 (Thu.), it will appear in the "All Day" row.

▼ Daily
From 12/23 (Tue.) to 12/25 (Thu.), it will appear in the "All Day" row.

▼ List
On 12/23 (Tue), it will be displayed as "13:00 (start)", on 12/24 (Wed) as "all day", and on 12/25 (Thu) as "17:00 (end)".

Unavailable training
In the following cases, panels will be displayed on the calendar as training that cannot be reserved.
- No vacant seat
- Overlapping reservations are limited + Multiple training with the settings exists during the same time slot + one of the training has already been reserved.
- Outside of the reservation period

Click on the panel, and a pop-up will appear.

Items displayed other than training
In addition to trainings, the calendar displays the following panels.
*Only training sessions can be updated.
- Items created on the Schedule page
- Learners purchasedSeminar(For use by,EC Option(You will need to sign up for a)
The following items will not be displayed on the calendar.
- The start date or end date of the seminar is not set
- Seminars not purchased
- Timetable set in the Schedule function
03. Add to the list of reservation updates
Click on a training in the calendar, and a pop-up window will be displayed.
You can add training sessions up to 50 cases to the list of reservation updates.
When the training status is the same, you can select multiple training sessions.
The following table shows each status before and after the reservation updates.

The following trainings cannot be rescheduled by the learner.
- Training with attendance status of "present" or "absent".
- Training with status "reserved" or "awaiting approval" and non-cancellable
▼When the status is Unreserved
After confirming the contents, click "Add to Reservation Change List.
If there is more than one reservation category or due date, select from the pull-down menu.

▼When the status is Waiting for approval or Reserved
Review the reservation details and click "Add to Reservation Change List".

When you add a training to the list, the training wil be ticked on the calender.

04. Unselect from the list of reservation updates
Click on the panel you have added to the rescheduling list, then click "Remove from List" in the pop-up that opens.
Or, you can click on "Unselect all" at the bottom of the page.
Once removed from the list of rescheduled appointments, the ✔ icon will no longer appear in the panel on the calendar.
05. Preview reservation updates
Click "Confirm Changes" at the bottom of the screen to view the list of reservation changes.
To remove from the list, click "Remove from List" to the right of each training course.
To unselect all items, click "Unselect all."
If the status is "Unreserved" and multiple capacity and closing dates have been set, the content can be edited from "Edit."

The Status column shows the status before and after the change.
If the status before the change is “Not Reserved”, the status after the change will be "Waiting for Approval" or "Reserved" depending on whether automatic approval is On or Off.
Also, if you tick the "Receive e-mail notification" box, you will receive an e-mail confirming your reservation changes.

To return to the calendar view again, click "Return to Calendar Screen".
To confirm the reservation change, click "Confirm Changes".
When the changes are successfully updated, the result will be displayed as shown below.

Notification of training reservation updates
As explained above, when a learner changes his/her own training reservation, the system can notify the individual of the change.
The content of the e-mail will first include the status before/after the change and the number of changes made.
Below that, the details of the training program that made the change will be listed.
*For information on editing the template, please refer to the "Editing Templates" section.Email settings - Training function.

In the following cases, the "Receive e-mail notifications" check box will not appear.
- Upcoming training can be displayed on the Email settingsThe "Training Reservation Change Notification" is set to not be used on the "Training Reservation Change Notification" screen.
- Upcoming training can be displayed on the Input field settingsE-mail address is set to not be used in the "E-mail address" screen.
- Learner's e-mail address has no value
Reservation Status
The learner's own training reservations are listed.
01. Listing of reservations
Open the "Reservations" tab to see a list of training reservations.
Here, you can check a list of information such as the status of each training course, reservation category, and starting date and time of the event.

For smartphones, only the following items are displayed in the reservation status list.
- Training Title
- Status
- Booking Classification
- Start date and time
- operation
- View details
Clicking on "Details" will display the other items on a separate screen.
The "Refine" section allows you to narrow down the training programs to be displayed based on information such as training name and status.
You can view archived trainings by ticking the "Show archives" box.

02. Confirmation of details
Clicking on "Details" for each training course will bring up a screen where you can review information about that course.
Click "Back to List" to return to the reservation status list screen.

03. Cancel reservation
You can cancel a training reservation by clicking "Cancel" to the right of the displayed item for each training course on the reservation status list screen.

The following pop-up will appear when clicked.
Enter the reason for cancellation and click "Confirm Changes.

If you cancel here, you will receive a "Notification of training reservation updatesis sent to the learner.
Attendance status
The learner's own training attendance is listed.
01. List of Attendance status
Open the "Attendance" tab to see a list of training attendance.
Here, you can check a list of information on the attendance and start date and time of each training session.
*Only trainings that have already been reserved will be displayed.

On a smartphone, the attendance list shows the same items as on a PC, but the "View" item appears to the right of the "Training Name".

The "Refine" section allows you to narrow down the training programs to be displayed based on information such as the name of the training and attendance.
You can view archived trainings by ticking the "Show archives" box.

02. Ticket Display
Click on "View Tickets" for each training course to view tickets in a separate tab.

03. QR Code display
Clicking on the "QR Code for Attendance" for each training course will display a separate tab with a QR code that can be used to attend the training course.
Attendance can be managed by scanning the code at the organizer.

The QR Code will not be displayed when the attendance status is Attend.
Only in the case of "Before reception/Absent", it can be displayed.
